Whether a Zoho Campaigns email reaches the inbox is decided by four things in sequence: authentication of your sending domain, the reputation that domain has built, how recipients engage with what you send, and only then the content itself. Most spam placement is settled at the first two, before anyone reads a subject line.

The instinct when campaigns underperform is to rewrite the copy. That is the last of the four factors and the least influential. An unauthenticated domain with a poor sending history will bury excellent writing.

Authentication: the part that is binary

Three records on your sending domain tell inbox providers that mail claiming to be from you actually is: SPF, which lists who may send on your behalf; DKIM, which signs the message cryptographically; and DMARC, which states what should happen when the first two fail and gives you reporting on attempts. Zoho Campaigns will guide the domain verification, but the records live in your DNS and belong to the business, not to the sending tool.

This is not a gradual factor. Either the checks pass or they do not, and a domain that fails them is fighting every other factor uphill.

Reputation: the part that takes time

Sending reputation is built from behaviour over weeks: volume consistency, bounce rates, complaint rates and engagement. A new sending domain has no reputation, which is why the worst possible first campaign is a large send to an old list. Volume that ramps gradually, starting with the most engaged recipients, builds the history that later sends depend on.

Deliverability is a reputation score, and reputation is earned by behaviour over weeks rather than settings changed in an afternoon.

The counter-intuitive point is that sending to fewer people improves results, not merely per-recipient rates. A list pruned of the dormant raises engagement, which raises reputation, which raises placement for everyone who remains.

Separate your streams

Transactional mail — invoices, statements, password resets, order confirmations — must reach the inbox. Marketing mail is judged more harshly. Sending both from one domain means a poorly received campaign can affect whether your invoices arrive. A subdomain for marketing keeps the reputations separate, and it is one of the highest-value structural decisions in the whole stack.

What content actually affects

Content matters at the margin, and in specific ways: a single dominant image with almost no text, link shorteners that disguise a destination, a mismatch between the sender name and the domain, and missing plain-text alternatives all weigh against a message. None of these will rescue a bad reputation, and none will sink a good one on their own.

Does a bigger list always mean more results?

No. Beyond a point, adding disengaged addresses reduces placement for the whole list, so the engaged recipients receive less.

How long does recovering a damaged reputation take?

Weeks rather than days, and only with consistent behaviour: small volumes to engaged recipients, clean bounces, and patience.

Is a dedicated sending domain necessary?

An authenticated domain is. A separate subdomain for marketing is strongly advisable for any business that also sends invoices or statements.
